Inspection Findings From Equipment
A large share of violations are maintenance failures written up as food safety failures. Knowing which lets you fix the cause.

Inspection reports are read as a judgement on the kitchen team. A meaningful proportion of findings are equipment problems that no amount of cleaning discipline resolves.
Findings that are maintenance problems
Cold holding temperature. The unit cannot hold temperature. Repeated findings on the same unit are an equipment fault, and cleaning schedules will not fix it.
Hot holding temperature. Same, for warmers and steam tables.
No hot water, or insufficient temperature at handwash sinks. A water heater fault. In most jurisdictions this is a serious finding and can close a site.
Dishwasher not sanitising. Booster heater or chemical dispensing failure. The staff ran the machine; the machine did not sanitise.
Standing water on floors. Drain blockage.
Ice machine condition. Scale, mould, biofilm — a maintenance and cleaning schedule failure.
Damaged surfaces. Worn cutting surfaces, damaged walk-in panels, peeling sealant, rusted shelving. These are equipment condition findings.
Gaps and holes allowing pest entry. Building fabric.
Broken tiles, damaged coving, failed grout. Facilities.
Non-functioning equipment in use. A cooler running warm and still being used.
Grease accumulation in hood systems. A cleaning schedule failure, and a fire code matter as well.
Findings that are genuinely operational
Worth distinguishing so the response goes to the right place.
Improper storage, cross-contamination, personal hygiene, date marking, chemical storage, employee practices, cooling procedures, scoops in ice bins.
The distinction matters because the corrective action is different. A temperature finding answered with staff retraining, when the cooler cannot hold temperature, produces the same finding next visit.
Reading a pattern
The same finding at consecutive inspections is an unaddressed cause.
The same finding across several sites points at a specification, a supplier or a standard rather than at individual teams.
A cluster of equipment findings at one site suggests deferred maintenance, an ageing kitchen, or a vendor not performing.
Findings appearing after a period without them suggests something changed — a manager, a vendor, a budget decision.
Track inspection findings against work order history. Where a finding matches an asset with open or repeated work orders, the connection is direct and it is the argument for the maintenance spend.
Responding properly
Correct the immediate finding, obviously and within the required timeframe.
Identify whether it is equipment or practice. Ask what the equipment was doing, not only what the staff were doing.
Raise a work order for the equipment cause, with the inspection reference attached.
Keep the evidence of correction. Photographs, work orders, receipts, dated. Re-inspection asks for this, and a repeat finding with no evidence of action escalates.
Feed it back to the preventive schedule. A finding on a unit that is on the schedule means the task list or the interval is wrong.
The escalation risk
Repeat findings escalate in most jurisdictions: from note, to formal violation, to fine, to closure, and in some systems to a published grade displayed publicly.
A displayed grade affects trade directly, which converts a maintenance deferral into a revenue problem with a visible cause.
This is the argument that works internally when preventive spending is questioned. Not the abstract risk of failure, but the specific mechanism by which a deferred repair becomes a public grade.
Preparing for inspection
Know when the equipment-related items will be checked: temperatures, hot water, dishwasher sanitising, ice machine, drains, hood condition.
Verify them the week before, with instruments rather than by looking.
Have the records available: temperature logs, sanitiser tests, hood cleaning certificates, suppression inspection, grease service manifests, backflow certification, thermometer calibration.
Produce them in seconds. An inspection where every record is available immediately is a materially different inspection from one where the manager is searching through email, and inspectors form a judgement about the operation from exactly that.
Fix the small visible things — a torn gasket, a dripping tap, a loose panel. They are cheap, they are findings, and they signal an operation that is not maintained.
The pre-inspection walk
Thirty minutes, weekly or before an expected inspection, checking the items that are both maintenance and compliance.
Temperatures, verified with a calibrated thermometer rather than read from displays.
Hot water temperature at the handwash sinks.
Dishwasher sanitising — rinse temperature or chemical concentration, tested.
Ice machine interior, visually.
Drains running, no standing water.
Hood filters in place and clean.
Suppression nozzles unobstructed, pull station accessible, inspection tag current.
Damaged surfaces — gaskets, panels, sealant, shelving.
Gaps and holes allowing pest entry.
Records available — the seven documents an inspector usually asks for.
Anything found becomes a work order that day. The point of the walk is to find things before an inspector does, and the value is lost if the findings are noted and not actioned.
