Soda systems, beer lines, coffee equipment and water systems have an unusual property: a large share of them belong to somebody else.
Ownership determines everything
Supplier-owned equipment is common in beverage. A soda supplier provides the dispenser, the syrup pumps and the carbonator as part of the supply agreement, and contractually they maintain it.
Leased equipment, particularly coffee, where the machine is provided against a coffee supply commitment.
Owned equipment, bought outright.
Operators routinely pay third-party contractors to repair equipment their supplier would have fixed at no cost. This is one of the most consistent findings in a first asset audit, and it is pure recovered money.
Record ownership in the asset register and put the supplier's service number on the equipment itself, physically. When something fails during service, nobody looks up a contract.
Soda and post-mix systems
Carbonators. Pumps and motors fail. Loss of carbonation is the symptom.
Syrup pumps and BIB connectors. Leaks, blockages, worn connectors.
Lines. Require periodic cleaning and sanitising, which is a food safety task with a defined interval.
Ice-cooled dispensers depend on ice supply, which links them to the ice machine.
Water supply and filtration. Taste complaints are frequently a filter that was never changed.
The common complaints and their causes: flat drinks means carbonation, syrup or CO2; wrong taste means ratio, filter or line cleanliness; slow pour means CO2 pressure or a blockage.
Beer systems
Line cleaning at a defined interval is a quality and hygiene requirement, typically every one to two weeks depending on the jurisdiction and the brewer's specification. Neglected lines produce off-flavours and are a hygiene finding.
Glycol systems for chilled lines fail quietly. Warm lines produce foam.
Couplers, faucets and taps wear and need periodic replacement.
Gas systems. CO2 and mixed gas. Regulators, cylinders and connections. CO2 is an asphyxiation hazard in confined spaces — cellars and storerooms with CO2 cylinders need appropriate detection and ventilation, and this is a genuine life safety item that operators overlook.
Coffee equipment
Scale is the dominant failure driver, as with every water-fed appliance. Treatment is required rather than optional.
Group heads, seals and shower screens need regular cleaning and periodic replacement.
Grinders need burr replacement on a schedule tied to volume.
Water filtration with a change interval by volume.
Espresso machines are among the most maintenance-sensitive items in a café operation and among the most expensive when neglected.
Water systems
Filtration serves ice, coffee, combi ovens and beverage, frequently from a shared system.
A neglected filter affects all of them simultaneously, which presents as several unrelated complaints.
Change intervals are by volume, not by calendar. A high-volume site exhausts a filter far faster than the sticker suggests.
Water treatment is the single highest-leverage maintenance investment in a restaurant with hard water, because it protects ice machines, dishwashers, combi ovens and coffee equipment at once.
Preventive tasks
By supplier, under agreement: whatever their contract specifies. Confirm what it covers and hold them to it.
Scheduled, by site or contractor: beer line cleaning at the required interval, soda line cleaning and sanitising, coffee machine cleaning daily and descaling at interval, water filter changes by volume.
Quarterly: carbonator and pump inspection, gas system and regulator check, CO2 detection test where fitted, filtration system review.
The audit worth running once
For every beverage and water asset on site:
Who owns it. Who is contractually responsible for maintaining it. What the service number is. When it was last serviced. Whether the filter interval is being met.
This takes an afternoon and it reliably finds equipment being serviced at your cost that a supplier covers, filters years past their interval, and at least one piece of equipment nobody can identify an owner for.
Put the answers on labels attached to the equipment. The value is realised at 7pm on a Friday when something stops working and the manager can see who to call.
The CO2 safety point
Worth separating because it is a genuine life safety matter that restaurant operators rarely consider.
CO2 is heavier than air and displaces oxygen. A leak in a confined space — a cellar, a small storeroom, a walk-in — can produce an atmosphere that is fatal, without odour or visible warning.
Bulk CO2 and multiple cylinders raise the risk proportionally.
Requirements vary by jurisdiction and increasingly include detection and alarm in confined spaces where CO2 is stored or used.
What to check: where cylinders are stored, whether the space is ventilated, whether detection is fitted and tested, whether staff know what the alarm means, and whether the supplier's installation met the local requirement.
Test the detection. Like every safety device, it fails silently, and nobody discovers it until the day it mattered.
